There are several items to consider and pieces of information to gather when getting ready for Summer and going Back to School. It is important to pass along any applicable information to the Support Team as soon as it is confirmed.
Summer Tasks / Things To Know
- Consider when the last day of school is. Based on this, what date should SchoolCity pause the automated nightly roster upload?
- Will the District have a Summer School program? If so, what is the beginning and end date?
- Should SchoolCity maintain the regular roster load (if not paused) or will the district have a Summer School Roster for loading?
At the end of each year, admin will receive an email requesting the above information. The Data Team then sets up each district based on their response.
Back To School Tasks / Things To Know
- Consider when the first day of school is for the new school year. Based on this, what date should the SchoolCity resume nightly roster uploads (if paused). This is typically done, 1 to 2 weeks prior to starting of the school year.
At the end of each year, admin will receive an email requesting the above information. The Data Team then sets up each district based on their response.
- From the Grid icon, select the Admin tile.
- Select the District Defaults tab.
- Select the System Properties tab.
- Update the School Year section:
- Ensure the checkbox to apply the Default School Year selections is checked.
- Use the dropdown to update the default Assessment school year.
- Use the dropdown to update the default Reports school year.
When identifying these assessments, consider the following:
- Will the assessments need revisions?
- Consider creating any Pre / Post versions.
- Assessments cannot be published for the new school year until after the new roster has been loaded and the new active school year in SchoolCity is configured. Copying or authoring for review and troubleshooting is ok.
- From the grid, select Assessments.
- Select the My Assessments tab.
Copy Multiple Assessments
- Use the checkboxes to select individual assessments to copy or use the top checkbox in the header bar to select all. (Note: The maximum number of assessments listed on one page is 50 but if you want to select more than 50 assessments, check the Select All Records box which will appear above the teal header bar.)
- Select the Copy icon located above the Functions header.
- Select the desired School Year for the new assessment.
- Use the calendar to select the Start and End Dates the assessment will be available for students (Assessment Window). Then, select Apply.
- Enter into the text boxes to add an Append Prefix, Append Suffix, and/or Replace words/numbers, depending on the naming protocol.
- Use the radio buttons to Include test documents (not including item bank assessments) or Exclude test documents.
- If desired, AKO and Express assessments with attached PDFs can be included in the copy. Item Bank documents will not be included in the copy, but once the copy is published, the test booklet and summary documents will be available in the folder icon under the function column of the Manage Assessments page.
- Use the radio buttons to select Online Settings (optional):
- Retain Original Settings - Settings on the original assessments will be applied to the copied assessments.
- Apply My Preferences - Settings configured in My Preferences will be applied to the copied assessments.
- Customize Settings - Settings will need to be reconfigured for the copied assessments.
- Select Save.
- A message will appear confirming this action. Select OK.
In the Assessment Manager, the newly copied assessments will be found under the selected school year and level in which they were created: My Assessments, School, or District.
